OTAs, Syncing & Dynamic Pricing: What Every Tour Operator Needs to Know

If you're running dynamic pricing with Aloja and you're also selling through Viator, GetYourGuide, or any other OTA, you've probably wondered at some point:


Why isn't my OTA price updating instantly?


Or: Why did a booking come through at a price that doesn't match what I set?


Or simply: How does any of this actually work?


These are good questions, and they come up constantly.


In this article we're going to answer them clearly, so you know exactly what's happening behind the scenes, what's normal, and what needs your attention.


How the Price Chain Actually Works


When Aloja optimizes your prices, the update doesn't go directly to Viator or GetYourGuide. It goes through your booking system first and from there to your connected OTAs.


Understanding this chain matters, because each handoff has its own timing.

Here's how it looks in practice:


Aloja calculates your optimal price → pushes that price to your booking system every hour, slot by slot → your booking system sends updated prices to connected OTAs → OTAs apply the new price on their end according to their own refresh schedule.


Aloja's end of this is fast: prices update to your booking system every hour. The slower part is what happens next.


OTAs pull pricing data on their own schedule, and that refresh window is typically between 2 and 24 hours. This is not a bug, and it's not unique to Aloja or to your booking system. It's how OTA connectivity works across the industry — hotels working with channel managers face the same delays, and it applies equally to tours and activities.


One important note: Aloja prices are pushed through the API connection, which means there is no need for you to update prices manually. This is one of the ma y benefits of implementing Ai-powered dynamic pricing.



Why There's ALWAYS a Small Gap


Because OTAs refresh on their own timeline, there will sometimes be a window where your current dynamic price hasn't yet reached a given platform. If a customer books during that window, the price they see (and pay) may be slightly different from your target price for that slot.


This is expected behavior, not an error. The error margin from OTA refresh delays is roughly 1%. Across a full year of bookings, this rounds out.


No system, ours or anyone else's, can guarantee real-time price parity with every OTA simultaneously, because OTAs are independent platforms with their own technical infrastructure.

What this means practically: if you notice a booking came in at a price that's a few dollars off from what Aloja had set for that slot, the most likely explanation is that the booking happened during the refresh window on that OTA. It's not Aloja miscalculating, and it's not your booking system failing to sync. It's the OTA serving a price it cached a few hours earlier.


If the discrepancy is large, consistent, or has been going on for more than 24 hours on a specific OTA, that's worth flagging to us. We can help you investigate whether that OTA's API connection is functioning correctly.



What You Need to Set Up & Why It Matters


Dynamic pricing through Aloja only works on OTA channels if those channels are configured to accept prices via API. This sounds technical, but it's a simple configuration step, and one operators sometimes miss.


For Ventrata: if your OTAs are connected via OCTO or Connect, you need to make sure that API pricing is enabled on those channels. This typically means enabling it for the relevant sales channels as well. If this setting isn't on, Aloja's prices will reach Ventrata but won't flow through to the OTA.


For Bokun: the equivalent is ensuring that each OTA you're connected to has "pricing over API" enabled in their channel settings. Your OTA account manager can confirm this, or you can check directly with their support.

Common Situations You'll Run Into


"My GetYourGuide price is different from my website."


This is almost always the OTA refresh window. If the gap is within 24 hours of a price change, wait it out. If it persists beyond 24 hours, let us know.


"I want to show different prices on my website versus my OTAs."


This comes up more than you'd expect. Most OTAs, Viator and GetYourGuide included, require price parity as part of their terms. You can't systematically show a lower price on your website than on an OTA without risking your account. What you can do is offer exclusive discounts or coupons to direct buyers: no violation of price parity, while incentivizing sales through direct channels.


"My OTA bookings seem to have stopped using my updated prices."


This usually points to a configuration issue: either API pricing got disabled on that channel, or there's been a change in how that OTA is connected to your booking system. This is one to raise with us promptly.



OTA Visilibility & How Pricing Affects It


One thing that often surprises operators: your pricing strategy directly affects your OTA ranking and visibility. OTAs use conversion rate as a primary ranking signal, a pattern that holds across hotels, tours, and activities alike. If your prices are too high relative to comparable tours, fewer people click through, and your visibility drops over time.


However, this can be easily solved by communicating prices strategically. And we can help you set this up.


Dynamic pricing, done well, doesn't mean charging as much as possible at all times. It means charging the right price at the right time, which often means staying competitive on OTAs during low-demand periods and capturing more revenue on high-demand days when OTA customers are willing to pay it.



WHAT WE'RE WORKING ON


OTA sync is one of the areas where we're actively pushing for improvement, not just on our end but with the booking system partners and the OTAs themselves. Our booking system partners are working on reducing refresh delays and improving how price confirmations work before a booking is finalized. Our goal is to get OTAs to confirm the current price at the moment of booking, not just the cached price from their last pull.


In the meantime, we monitor which OTAs are consistently processing our prices and which aren't. If an OTA repeatedly fails to reflect Aloja's pricing, that's a signal worth acting on, whether that means escalating with the OTA directly or reconsidering whether they're a useful channel for your dynamic strategy.

Here's what to keep in mind:


Aloja pushes prices to your booking system every hour. OTAs then pull those prices on their own schedule; a 2 to 24 hour window is normal. The resulting ~1% discrepancy in booking prices is expected, not a sign that something is broken. Make sure API pricing is enabled on every OTA channel you want to run dynamic pricing through. And if something looks wrong, prices not updating after 24 hours, consistent large gaps, products missing from OTAs, tell us and we'll dig in.


OTAs are worth managing carefully. They bring volume, they expand your reach, and with the right setup they can amplify the impact of dynamic pricing rather than working against it.
